Booking & Cancellation Policy

The Professional Amateur Experience

At The Professional Amateur Experience, every event is tailored around the client, venue, group size and preferred level of immersion. The following policy outlines how bookings, payments, cancellations and amendments are handled.


1. Enquiries & Proposals

All enquiries made through our website, email or direct contact are treated as expressions of interest only and do not constitute a confirmed booking.

Following an initial discussion, clients may receive a tailored proposal outlining:

  • Experience format
  • Venue
  • Group size
  • Hospitality options
  • Estimated timings
  • Pricing
  • Optional enhancements

Experiences are subject to venue availability and final confirmation.


2. Booking Confirmation

A booking is only confirmed once:

  • A proposal has been accepted in writing
  • Any required deposit has been received
  • Written confirmation has been issued by The Professional Amateur Experience

Until confirmation is received, dates and venues cannot be guaranteed.


3. Deposits & Payments

A non-refundable deposit may be required to secure:

  • Venue reservations
  • Hospitality arrangements
  • Tee times
  • Accommodation
  • Third-party services

Deposit requirements will vary depending on the nature and scale of the experience.

Unless otherwise agreed in writing:

  • Final balances are due no later than 14 days prior to the experience date

Failure to make payment within the agreed timeframe may result in cancellation of the booking.


4. Cancellations By The Client

All cancellations must be made in writing via email to:

Cancellation charges may apply due to venue, hospitality and supplier commitments already made on behalf of the client.

Unless otherwise stated within a bespoke agreement:

More than 60 days before the experience

Any payments made, excluding non-refundable deposits and committed third-party costs, may be refunded.

Between 30 and 60 days before the experience

Deposits and any committed third-party costs may be retained.

Less than 30 days before the experience

Full or partial payment may still be payable depending on costs already committed on behalf of the client.


5. Amendments & Rescheduling

We understand that plans can occasionally change.

Requests to amend:

  • Dates
  • Guest numbers
  • Venues
  • Experience formats

will be accommodated wherever reasonably possible, subject to venue and supplier availability.

Additional costs may apply where amendments affect confirmed bookings or third-party services.


6. Cancellation By The Professional Amateur Experience

In the unlikely event that we need to cancel or significantly alter an experience due to circumstances beyond our reasonable control, clients will be offered:

  • An alternative date
  • A revised experience format
  • Or a refund of payments made directly to The Professional Amateur Experience where appropriate

We shall not be liable for indirect costs incurred by the client, including travel, accommodation or third-party arrangements booked independently.


7. Weather & Course Conditions

Golf and outdoor elements of an experience may occasionally be affected by:

  • Weather conditions
  • Course closures
  • Venue restrictions
  • Health & safety considerations

Where possible, alternative arrangements or adjusted schedules will be provided to preserve the overall experience.


8. Guest Conduct

We reserve the right to remove or refuse participation to any guest whose behaviour is considered:

  • Unsafe
  • Disruptive
  • Offensive
  • Intoxicated
  • Or inappropriate towards staff, venues or other guests

No refund will be due in such circumstances.


9. Liability

Participation in any golf, hospitality or experience activity is undertaken at the guest’s own risk.

The Professional Amateur Experience accepts no responsibility for:

  • Personal injury
  • Loss of property
  • Damage to belongings
  • Delays or disruptions caused by third-party providers or circumstances outside our reasonable control

Nothing within this policy excludes liability where exclusion is not permitted by law.


10. Photography & Media

From time to time, photography or video content may be captured during experiences for promotional purposes.

Clients who do not wish images or footage to be used should notify us in writing prior to the experience date.
